Set up rooms and stop double-booking them

Rooms & spaces3 min read

Rooms make sure two bookings never use the same room, court or studio at the same time, even with different staff and different clients. It's a Pro feature.

  1. 1

    Switch rooms on

Go to Settings → Rooms & spaces and turn on Use rooms. A Rooms tab appears in the sidebar right after Services (it's called Courts for sports businesses and Studios for studio rental). Use rooms

  2. 2

    Add your rooms

Open the Rooms tab and click Add room. Give it a name, a type (room, court, studio, station) and a colour. How many people it fits is for information only: one booking always uses the whole room. Add room

  3. 3

Tell services which rooms they need

Edit a service and tick the rooms under Needs a room. The booking then needs one free room from that list. Services with no rooms ticked work exactly as before.

  4. 4

Let the system pick the room

When a service needs a room, every booking gets a free room automatically, and online booking only offers times when a room is free. In the appointment window you can pick a room by hand instead. A hand-picked room is never moved; an automatic one may be switched if the time changes.

  5. 5

    See the calendar by room

On the calendar, use the Staff / Rooms switch to see one column per room with how busy each is that day. In Rooms view, cards show the staff member, and the staff chips above the grid highlight one person's bookings. Drag a booking to another room column to move it there.

One-person businesses that use rooms see the Rooms view by default, because a single staff column wouldn't tell you anything.
